View Invoice Items Details and Relationships

The Invoice Item Details window includes information about the invoice item, a list of items included with the invoice, and a list of manual charges that were created from any of the invoice’s items. You can also view the relationships between an invoice item and any manual charges, parent invoices, and/or children invoices.

Complete the following steps to view a details of invoice items for a specific billing account:

If you know the account number, click the Accounts tab, if visible. Use the Search field to find and select an account. Skip to this step. Refer to Search Feature for more information about using the Search feature.

  1. Select Customer Billing from the Gotransverse application menu Module menu icon.

    You may see a Customers and an Accounts tab or just the Accounts window, depending on the value for the Allow Multi-Customer Accounts Billing system setting. The Allow Multi-Customer Accounts system setting must be set to True to see both tabs. If this system setting is set to False, you will only see the Accounts window while in the Customers module. Refer to System Settings for more information about configuring system settings.

  2. Select a customer from the list or search for a customer from the Search field to open the Customer Summary window.

    To quickly access a customer or billing account, click thequick search icon icon on the title bar (on either the Customers or Accounts window) and enter part of the customer or billing account name. If you do not see the Accounts tab, you can still search for a billing account from the Customers window by entering part of the number in the Search field. You can also bookmark regularly-used pages. Refer to Search Feature for more information.

    Click the collapse icon icon in the left pane to hide it. Click the icon to open it.

    You can manage which columns display in any table with a Configure or Columns button by clicking the button and selecting desired columns. In addition. If the table includes a Filter button, you can filter the table contents. If the table includes an Export button, you can export visible table contents (up to 50) to a CSV (comma-separated values) file. Refer to Data Tables for more information about using these features.

  3. On the Customer Summary window, select an account under the Accounts detail tab to open the Account Details window.

  4. On the Account Details window, click the Invoices tab.

  5. Select the desired invoice from the list to open an Invoice Details window.

    The Items detail tab lists all invoice items that are billed.

    • The data table can be configured to show or hide desired columns. Click the Configure button and select columns. Click outside the menu to close it. The column header can also be rearranged by clicking and dragging. Table contents can be exported. Refer to Add or Remove Table Columns, Reorder Table Columns, and Export Table Contents for more information.

    • The Actions column includes actions that can be taken for the item, depending on the type of item it is. To perform an action on an item, click the in the Actions column and select an option. For example, if you select View Service, the Service Details window for the service associated with the invoice item will open.

    • The Actions column will include a relationship icon if this charge has associated relationships. Click the icon to open an Invoice Item Relationships window, which includes manual charges (if any) associated with this item and any parent and child invoices.

      • Manual charges are charges created from an existing invoice item charge. Click the link in the ID column to open the Manual Charge Details window for the manual charge. Refer to Manual Charges for more information.

      • A Parent invoice is the invoice item that was used as a source for creating an invoice item. An invoice item has only one parent invoice item. Click the link in the Invoice Number column to open the Invoice Details window for the invoice.

      • Child invoices are invoice items that were created based on an invoice item from another invoice.

      This window is also available from the Invoice Item Details window (see below).

  6. To view more details about an invoice item, select the item to open the Invoice Item Details window.

    The Invoice Item Details window includes information about the invoice item and an Invoice Item Charges detail tab, which includes a detail of the items that total to the invoice item amount, including the charge, taxes, and discounts.

    Refer to Tax Rounding on Invoices for more information about how taxes are rounded, if certain system settings are enabled, on invoice item charges.

    If a service was created for the invoice item, a link to the service will be displayed in the Service field in the Invoice Item Information section.

    If an invoice item had either a manual invoice created from it or if a manual charge was created from any of the invoice item charges included in the invoice item, then a icon will display on the right side of the Invoice Item Details window. Click the icon to open an Invoice Item Relationships window, which includes manual charges, parent invoice, and child invoice information.

    The Actions column includes actions that can be taken for the item (depending on the item type as shown in the Type field in the Invoice Item Information section) and a relationship icon (if relationships to other invoices or manual charges exist). To perform an action on an item, click the in the Actions column and select an option:

    1. Select Create Manual Charge to open the Create Manual Charge window, where you can create a manual charge from this order item. Refer to Manual Charges for more information.

    2. Click the icon to open an Invoice Item Relationships window.
