Manual Charges

Manual charges provide a way to create invoice item charge information for a future invoice item charge. Manual charges are based on an existing invoice item charge (also known as invoice line item adjustments) from the same billing account. Manual charges could be created as an alternative to creating adjustments or a manual invoice.

Manual charges can progress through these statuses:

  • DRAFT — The manual charge is created but not posted.

  • POSTED — The manual charge has been posted and is awaiting processing.

  • COMPLETED — The manual charge was included in a processed invoice.

Features of a manual charge include:

  • A manual charge can be created from an invoice item charge. The invoice can be in either Open or Closed status. You cannot create a manual charge on an invoice item for an invoice in Processing status.

  • The unit price, quantity, description, reason, start date, end date, and tax selection can be changed from the original invoice item charge. The Invoice Item Charge, Charge Type, and Charge Category cannot be edited.

  • The new manual charge will be taxed based on the same codes as the original invoice item charge.

  • The new manual charge will be processed using the same posting rules that would be used if a manual invoice had been created for the invoice item charge.

  • The new manual charge will appear as invoice line items in the invoice generated by the next scheduled bill cycle or as part of On Demand billing.

  • The manual charges that are processing as part of the bill cycle will not open any previously processed service periods.

  • Manual charges cannot be created and posted in bulk through API 2.0.

  • A manual charge can only be created for these invoice item charge types:

    • Charge (Recurring charges or One-Time)

    • Scheduled One-Time

    • Manual (Recurring charges or One-Time)

    • Manual One-Time

IMPORTANT: The following requirements must be met before you can create a manual charge:

  • A Manual Charge Reason must be created and active in the Setup application.

  • A user must be assigned either a standard role or a custom role that has one of the following security authorities assigned to it:

    • Customer Billing - Full Access

    • Customer Billing - Full Access to the Customer Management area

    • Customer Billing - Full Access to the Manual Charges section in Customer Management Area

    • Customer Billing - Invoices - Create manual charge

Manual charges that have been selected to include taxation currently can only be created for Avalara for Communications, GTV Tax Essentials, and No Tax tax processors.
