View Manual Charge Details

Details about manual charges can be found on either the Manual Charges window or the Pending Charges window:

  • Manual Charges window includes all manual charges created for that account in any status.

  • Pending Charges window includes manual charges in POSTED status that have been posted and are awaiting processing. Also refer to View Pending Charges, Usage Event Details, and Manual Charge Details for information on viewing other different types of pending charges.

After a manual charge has been processed by the bill cycle to an invoice, and the bill cycle has been approved, the manual charge is no longer displayed in the Pending Charges window nor is it part of the pending charges calculation. The status of the manual charge is changed to COMPLETED by the bill cycle. Completed manual charges can be viewed in the Manual Charges window or an Invoice Item Relationships window (refer to View Invoice Items Details and Relationships).

Both windows are accessed through the Account Details window for the account where the manual charges were created. You do not need to first locate the invoice or invoice item charge from which the manual charges were created.

Complete the following steps to view manual charges:

If you know the account number, click the Accounts tab, if visible. Use the Search field to find and select an account. Skip to this step. Refer to Search Feature for more information about using the Search feature.

  1. Select Customer Billing from the Gotransverse application menu Module menu icon.

    You may see a Customers and an Accounts tab or just the Accounts window, depending on the value for the Allow Multi-Customer Accounts Billing system setting. The Allow Multi-Customer Accounts system setting must be set to True to see both tabs. If this system setting is set to False, you will only see the Accounts window while in the Customers module. Refer to System Settings for more information about configuring system settings.

  2. Select a customer from the list or search for a customer from the Search field to open the Customer Summary window.

    To quickly access a customer or billing account, click thequick search icon icon on the title bar (on either the Customers or Accounts window) and enter part of the customer or billing account name. If you do not see the Accounts tab, you can still search for a billing account from the Customers window by entering part of the number in the Search field. You can also bookmark regularly-used pages. Refer to Search Feature for more information.

    Click the collapse icon icon in the left pane to hide it. Click the icon to open it.

    You can manage which columns display in any table with a Configure or Columns button by clicking the button and selecting desired columns. In addition. If the table includes a Filter button, you can filter the table contents. If the table includes an Export button, you can export visible table contents (up to 50) to a CSV (comma-separated values) file. Refer to Data Tables for more information about using these features.

  3. On the Customers window, select an account to open the Customer Summary window.

  4. On the Customer Summary window, select an account on the Accounts tab to open the Account Details window.

  5. To view all manual charges, click the More drop-down menu and select Manual Charges to open the Manual Charges window.

    1. On the Manual Charges window, select a manual charge to open the Manual Charge Details window.

  6. To view only pending manual charges (manual charges that have been posted but not processed), click the More drop-down menu and select Pending Charges to open the Pending Charges window.

    Invoice Details Window

    1. On the Pending Charges window click the Manual Charges detail tab and select a manual charge to open the Manual Charge Details window.

  7. The Manual Charge Details window includes details about the manual charge and the invoice, invoice item, and invoice item charge it was created from. The invoice and invoice item names are links to those information windows.

    Hover your mouse over a field’s entry to display a copy icon icon. Click the icon to copy the entry to the clipboard.

    In addition, if the field entry’s contents are not completely displayed (ends with ...), hover over the entry to display a pop-up with the entire contents.

    If the manual charge is COMPLETED, its Manual Charge Details window also includes links to the processed invoice and invoice item in the Processed To section.

    The History detail tab lists all activities done on that manual charge, including a description of the activity and the email of the user who performed the activity.
