Void Usage Event for a Pending Charge

After the usage event is posted, you can void it to remove the usage event record from the list of posted usage events. After you void a usage event, associated charges will not be billed to the billing account. Usage events cannot be reinstated after being voided.

You can also void, retain voided usage records, and retrieve details about voided usage events with API 2.0. Refer to API 2.0 (Usage Events) link to an external web site for more information about usage events.

Usage that has been processed by SVS cannot be voided. Refer to Stored Value Service for additional information about SVS.

Gotransverse stores the voided usage event records, including the charges that are returned to the user, only if the Enable Retention of Voided Usage Event system setting is set to True before voiding a usage event. Refer to System Settings for more information about how to configure system settings in the Admin application.

You must have the Customer Billing - Pending Charges Full Access security authority as part of your role to edit and void usage events. Refer to Role, Authority, and Levels Module in the Admin section of this user guide for information on what security authorities are assigned to your role.

Complete the following steps to void a usage event for a pending charge:

  1. Select Customer Billing from the Gotransverse application menu Module menu icon.

    You may see a Customers and an Accounts tab or just the Accounts window, depending on the value for the Allow Multi-Customer Accounts Billing system setting. The Allow Multi-Customer Accounts system setting must be set to True to see both tabs. If this system setting is set to False, you will only see the Accounts window while in the Customers module. Refer to System Settings for more information about configuring system settings.

  2. Select a customer from the list or search for a customer from the Search field to open the Customer Summary window.

    To quickly access a customer or billing account, click thequick search icon icon on the title bar (on either the Customers or Accounts window) and enter part of the customer or billing account name. If you do not see the Accounts tab, you can still search for a billing account from the Customers window by entering part of the number in the Search field. You can also bookmark regularly-used pages. Refer to Search Feature for more information.

    Click the collapse icon icon in the left pane to hide it. Click the icon to open it.

    You can manage which columns display in any table with a Configure or Columns button by clicking the button and selecting desired columns. In addition. If the table includes a Filter button, you can filter the table contents. If the table includes an Export button, you can export visible table contents (up to 50) to a CSV (comma-separated values) file. Refer to Data Tables for more information about using these features.

  3. On the Customers window, select an account to open the Customer Summary window.

  4. On the Customer Summary window, select an account on the Accounts tab to open the Account Details window.

  5. On the Account Details window, click the More tab and select Pending Charges.

  6. For the usage event that you want to void, complete one of the following actions:

    1. Click the ellipsis ellipsis icon icon in the Actions column, and select Void Event.

    2. OR, select the usage event to open the Usage Event Details window, then click the actions icon icon and select Void Event.

  7. Click Yes in the confirmation window. The event removes from the table and will not be billed to the billing account.
