Edit Invoice

You can edit the summary information for an invoice, including changing the due date, denoting the invoice as Disputed, or edit the external invoice number which can used to reference the invoice when performing a search in the Invoices Module.

To create invoice item charge information for a future invoice item charge, you can create a manual charge. Refer to Manual Charges for more information.

You can also make changes and adjustments to invoices in the Accounts application. Refer to Invoices in the Accounts section of the user guide for more information.

Complete the following steps to edit the invoice information:

If you know the invoice number or external invoice number, click Invoices in the left pane. Use the Search field to find and select an invoice. Skip to this step. Refer to Search Feature for more information about using the Search feature.

  1. Select Customer Billing from the Gotransverse application menu Module menu icon.

    You may see a Customers and an Accounts tab or just the Accounts window, depending on the value for the Allow Multi-Customer Accounts Billing system setting. The Allow Multi-Customer Accounts system setting must be set to True to see both tabs. If this system setting is set to False, you will only see the Accounts window while in the Customers module. Refer to System Settings for more information about configuring system settings.

  2. Select a customer from the list or search for a customer from the Search field to open the Customer Summary window.

    To quickly access a customer or billing account, click thequick search icon icon on the title bar (on either the Customers or Accounts window) and enter part of the customer or billing account name. If you do not see the Accounts tab, you can still search for a billing account from the Customers window by entering part of the number in the Search field. You can also bookmark regularly-used pages. Refer to Search Feature for more information.

    Click the collapse icon icon in the left pane to hide it. Click the icon to open it.

    You can manage which columns display in any table with a Configure or Columns button by clicking the button and selecting desired columns. In addition. If the table includes a Filter button, you can filter the table contents. If the table includes an Export button, you can export visible table contents (up to 50) to a CSV (comma-separated values) file. Refer to Data Tables for more information about using these features.

  3. On the Customer Summary window, select an account under the Accounts detail tab to open the Account Details window.

  4. On the Account Details window, click the Invoices tab.

  5. Select the desired invoice from the list to open the Invoice Details window.

  6. On the Invoice Details window, select Editfrom the Invoice drop-down menu to open the Edit Invoice window.

  7. On the Edit Invoice window, enter the required and relevant information:

    You can only edit the due date of Open invoices.

    • External Invoice Number — User-defined field. Enter an external invoice number to the invoice for reference. This value can be updated for invoices in any status.

    • Due Date — Enter a new date, either before or after the current due date.

      NOTES:

      • Backdating the Due Date will not change any previous statements that were generated for the associated billing account.

      • Backdating the Due Date will instantly impact a customer’s billing account and could induce immediate dunning processing on the account or create other, non-intended downstream consequences (such as late payment fees) on the billing account.

      • Any report that shows a due date or is based on a due date, such as the aging reports, will reflect the revised due date.

    • Disputed checkbox — Select this checkbox to denote this invoice as Disputed.

  8. Click Edit to save your changes.

  9. If you edited the Due Date, the Due Date field on the Invoice Details window updates to the entered due date, and the Original Due Date field displays the original due date.

    You will only see the most recent Due Date and Original Due Date values. To see Due Date changes, click the History tab.

  10. All changes to the due date, as well as other changes are tracked on the History detail tab on the Invoice Details window. Refer to View Invoice Details for more information.
