Add Child Account

A billing account becomes the parent account when you add another billing account to it as a child account. You can add as many child billing accounts as desired to a parent billing account. The parent - child relationship is only used for reporting purposes.

However, if an account is already a child of a parent account, and you add that child account to a different parent account, the child account is moved to the new parent account and removed from the first parent account. A billing account can only be a child account to one parent account.

For example, you add billing account 103 to A3 as a child account. You then add 103 to A7888 as a child account. Account 103 is now the child of A7888 and removed as a child from A3.

The Enable Account Hierarchy Management Account system setting must be set to True to enable the creation of account hierarchies.

In addition, the Require same Bill Cycle for Account Hierarchy Account system setting determines whether or not all accounts in the hierarchy must be on the same bill cycle.

Complete the following steps to add a child account to a parent account:

If you know the account number, click the Accounts tab, if visible. Use the Search field to find and select an account. Skip to this step. Refer to Search Feature for more information about using the Search feature.

  1. Select Customer Billing from the Gotransverse application menu Module menu icon.

    You may see a Customers and an Accounts tab or just the Accounts window, depending on the value for the Allow Multi-Customer Accounts Billing system setting. The Allow Multi-Customer Accounts system setting must be set to True to see both tabs. If this system setting is set to False, you will only see the Accounts window while in the Customers module. Refer to System Settings for more information about configuring system settings.

  2. Select a customer from the list or search for a customer from the Search field to open the Customer Summary window.

    To quickly access a customer or billing account, click thequick search icon icon on the title bar (on either the Customers or Accounts window) and enter part of the customer or billing account name. If you do not see the Accounts tab, you can still search for a billing account from the Customers window by entering part of the number in the Search field. You can also bookmark regularly-used pages. Refer to Search Feature for more information.

    Click the collapse icon icon in the left pane to hide it. Click the icon to open it.

    You can manage which columns display in any table with a Configure or Columns button by clicking the button and selecting desired columns. In addition. If the table includes a Filter button, you can filter the table contents. If the table includes an Export button, you can export visible table contents (up to 50) to a CSV (comma-separated values) file. Refer to Data Tables for more information about using these features.

  3. On the Customer Summary window, complete one of the following actions:

    1. For the account you wish add a child account, click the ellipsis ellipsis icon icon in the Actions column, and select Add Child Account to open the Browse Accounts window.

    2. OR, select an account under the Accounts detail tab to open the Account Details window. Select Add Child Account from the Account drop-down menu to open the Browse Accounts window.

  4. On the Browse Accounts window, select the billing account that you want to assign as a child.

    You can add several child accounts at a time.

    1. Use the following filters to find the desired billing account more quickly:

      • By Account Number: Begin typing the billing account number of the needed billing account.

      • By Account Name: Begin typing the name of the desired billing account.

      • By Category: Select the account category associated with the desired billing account.

      • By External ID: Enter the external ID of the desired account.

  5. Once you selected the desired billing accounts, click Add to Account.

Accounts that you have selected as child are now displayed on the parent account details window.
