Configure Email Operation for Account Notifications

Account notifications include the following types:

  • Account Notification

  • Account Status Change Notification

  • Credit Card Expiration Notification

The email operation uses the Billing Account notification templates. Refer to Notification Templates for more information about these templates.

Each type includes the following basic configuration settings:

  • Enable Operation checkbox

  • Account Category selector

  • Email Template selector

  • Account Email checkbox

  • Recipient Email text field

  • BCC checkbox

  • Contact Category selector

The different account notification types have the following unique settings:

  • Account Notification:

    • Send On text field

  • Account Status Change Notification:

    • Trigger selector

  • Credit Card Expiration Notification:

    • Days From Credit Card Expiration text field

    • Before Expiration Date radio button

    • After Expiration Date radio button

Complete the following steps to add or edit an email operation for an account notification type:

  1. Select Setup from Gotransverse application menu Module menu icon.

  2. Click Notification Management in the left pane.

    Click the collapse icon icon in the left pane to hide it. Click the icon to open it.

  3. In the Accounts Notifications section, click the name of the notification you want to configure to open the Action Configuration window for that notification.

  4. On the Action Configuration window, in the Email Operations section, click the Add button to add a new email operations, or click Edit in the Actions column for an operation to edit the operation. Both actions will open the Configure Email window.

  5. On the Configure Email window, enter the required and relevant information based on the type of notification you selected:

    Required fields are marked with an asterisk.

    • Enable Operation checkbox — Indicates whether the operation is on and available for use. Select or deselect the checkbox to enable or disable this action as follows:

      • Selected: The request will occur.

      • Not selected: The request will not occur. This request can be enabled later. Any request operation can be enabled at any time after they are created.

    • Send On* — (for Account Status Change Notification type only.) Enter the day of the month you wish to send the email. For example, enter 15 to send the email on the 15th.

    • Email Template* — Select the email template from the drop-down list. Gotransverse provides you with a Default Invoice email template.

    • Attach PDF checkbox — (for Account Status Change Notification type only.) You have the option to attach a statement to the email. Select this checkbox to use a template for the attachment. When you select this option, the Attachment Template drop-down list displays so that you can select the statement template that you want to attach to the email.

    • Attachment Template — (for Account Status Change Notification type only.) When Attach PDF checkbox is selected. Select the statement template from the drop-down lists that you want to attach to the email.

    • Days From Credit Card Expiration — (for Credit Card Expiration Notice type only.) Enter the number of days before the credit card will be expired. Then select one of the radio buttons (below) to specify when the notice will be sent: either before or after the expiration date.

    • Before Expiration Date radio button — (for Credit Card Expiration Notice type only.)

    • After Expiration Date radio button — (for Credit Card Expiration Notice type only.)

    • Account CategoryFor multi-entity tenants only. Select the account category from the drop-down list.

    • Account Email checkbox — Specifies whether to use the email address from the billing account's customer. Select or deselect the checkbox to enable or disable this action as follows:

      • Selected: Use the email address of the billing account's customer.

      • Not selected: Do not use the email address of the billing account's customer. Enter an address in the Recipient Email field (below).

    • Recipient Email — If you selected to not to use the account email address, enter the alternate customer email address to which to the notification will be sent.

    • BCC — Enter an email address that will receive a copy of this email.

    • Contact Category — Select from the available categories or add a new category by clicking Add. Enter information as needed and click Finish to close the Add Contact Category window.

      Contact Categories are managed in the Setup application’s Categories Module. Refer to Add Contact Category for more information about adding new contact categories.

  6. Click Finish to save your operation. The email operation is added (or updated) in the Email Operations section of the Action Configuration window.
