Edit Usage Rule on Service

You can edit usage rules when creating an order or on a service.

Complete the following steps to edit a usage rule on a service:

If you know the service number or name, you can search for it on the Services window to open the Service Information window. Skip to this step.

  1. Select Customer Billing from the Gotransverse application menu Module menu icon.

    You may see a Customers and an Accounts tab or just the Accounts window, depending on the value for the Allow Multi-Customer Accounts Billing system setting. The Allow Multi-Customer Accounts system setting must be set to True to see both tabs. If this system setting is set to False, you will only see the Accounts window while in the Customers module. Refer to System Settings for more information about configuring system settings.

  2. Select a customer from the list or search for a customer from the Search field to open the Customer Summary window.

    To quickly access a customer or billing account, click thequick search icon icon on the title bar (on either the Customers or Accounts window) and enter part of the customer or billing account name. If you do not see the Accounts tab, you can still search for a billing account from the Customers window by entering part of the number in the Search field. You can also bookmark regularly-used pages. Refer to Search Feature for more information.

    Click the collapse icon icon in the left pane to hide it. Click the icon to open it.

    You can manage which columns display in any table with a Configure or Columns button by clicking the button and selecting desired columns. In addition. If the table includes a Filter button, you can filter the table contents. If the table includes an Export button, you can export visible table contents (up to 50) to a CSV (comma-separated values) file. Refer to Data Tables for more information about using these features.

  3. On the Customers window, select an account to open the Customer Summary window.

  4. On the Customer Summary window, select an account on the Accounts tab to open the Account Details window.

  5. Click the Services tab and select a desired service in the Recurring Services section to open the Service Details window.

    NOTE: If you use the Avalara Communications Tax processor, the Recurring Services and One-Time Services tables will include a Tax Mode column showing how the service was configured for tax: Tax Exclusive, Tax Inclusive, or No Tax.

  6. On the Service window, complete one of the following:

    1. Click the icon in the Actions column and select Edit to open the Configuration window.

    2. OR, select a service to open the Service Information window and select the Service Usage Rules detail tab. For the usage rule you wish to edit, click the ellipsis ellipsis icon icon and select Edit to open the Configuration window.

      If you use the Avalara Communications Tax processor, the Service Price Summary will also include either a Recurring Tax Mode or both a Recurring Tax Mode field and a One-Time Tax Mode field with either Tax Inclusive or Tax Exclusive, depending on the product configuration.

  7. On the Configuration window, select the Usage Rules tab (if not already selected).

  8. Click the icon next to the desired usage rule. Edit the active fields, including the following:

    Required fields are marked with an asterisk.

    • Name* — Modify the name of the usage rule.

    • Status* — Change the status of the usage rule which may include Active or Deactivated.

    • Charge Category* — Change the associated charge category.

    • Rule*, Rate, and Allowance — You can only modify configurations of the Rule, Rate, and Allowance within the predefined type selected when creating the rule. For example, you can enter a new rate for the selected Flat Rate of the usage rule, but you cannot change the Flat type of Rate to Table Rate or Pass Through.

      Another example is that you can change the Amount of a Recurring Allowance but not the type, such as Byte. The Amount can be changed during the service period or recurrence interval period, but cannot be set to a value lower than the usage already billed in the interval or service period.

  9. Click Edit to save changes and close the lower portion of the window. If you wish to edit another usage rule, click the icon and repeat.

  10. Click OK to close the configuration window.
