Move Payment

You can move a payment from one billing account to another through the process of canceling the payment on the source account and posting the payment to the target account.

The following requirements or parameters apply when moving a payment from the source account to a target account:

  • The source and target accounts do not have to be within the same customer account.

  • The payment must be in Completed status.

  • User can move a partial or full payment from one account to another.

  • The process of moving a payment automates the process by canceling the payment on the source account and posting the payment to the target account.

  • After the payment is moved, the amount of the payment moved on the source account is noted as Canceled. Details about the moved payment are listed under the Changes detail tab.

  • After the payment is moved, a confirmation message displays with a link to the account where the payment was moved.

  • The moved payment creates a new payment on the target account. The Payment Information section on the moved payment’s Payment Details window will include a Moved From field with an active link to the source account.

  • The Enable the ability to move a payment for specified payment method system setting controls this feature and which payment methods can be used when moving a payment: wire transfer, cash, or check.

Complete the following steps to move a payment:

  1. Select Customer Billing from the Gotransverse application menu Module menu icon.

    You may see a Customers and an Accounts tab or just the Accounts window, depending on the value for the Allow Multi-Customer Accounts Billing system setting. The Allow Multi-Customer Accounts system setting must be set to True to see both tabs. If this system setting is set to False, you will only see the Accounts window while in the Customers module. Refer to System Settings for more information about configuring system settings.

  2. Select a customer from the list or search for a customer from the Search field to open the Customer Summary window.

    To quickly access a customer or billing account, click thequick search icon icon on the title bar (on either the Customers or Accounts window) and enter part of the customer or billing account name or number. If you do not see the Accounts tab, you can still search for a billing account from the Customers window by entering part of the name or number in the Search field. You can also bookmark regularly-used pages. Refer to Search Feature for more information.

    Click the collapse icon icon in the left pane to hide it. Click the icon to open it.

    You can manage which columns display in any table with a Configure or Columns button by clicking the button and selecting desired columns. In addition. If the table includes a Filter button, you can filter the table contents. If the table includes an Export button, you can export visible table contents (up to 50) to a CSV (comma-separated values) file. Refer to Data Tables for more information about using these features.

  3. On the Customers window, select an account to open the Customer Summary window.

  4. On the Customer Summary window, select an account on the Accounts tab to open the Account Details window.

  5. Click the Payments tab to open the Payments window for that account.

  6. On the Payments window, complete one of the following:

    1. For the payment you wish to move, click the menu iconicon and select Move to open the Move Payment window.

    2. OR, select a COMPLETED payment to open a Payment Details window. Click the menu iconicon and select Move to open the Move Payment window.

  7. Alternatively, click Payments from the left pane.

    1. Search for a payment by search criteria (Payments Search Keys) or select a payment listed in the table to open a Payment Details window for the billing account. Click the menu iconicon and select Move to open the Move Payment window.

  8. On the Move Payment window, enter the required and relevant information:

    Required fields are marked with an asterisk.

    • Cancel Account — Enter either all or part of the payment amount shown in the Amount field in the section above this field. The Cancel Account field is automatically populated with the entire amount.

    • Cancel Reason* — Select a reason for canceling this payment and moving it to another account. The reasons listed are Payment Change Reasons, which are created and managed in the Setup application. Refer to Reasons Module for more information about these reasons.

    • Cancel Date — Select the date when the payment should be canceled and moved.

    • Cancel Payment Note — Enter any information about the cancellation and move as needed. This information is listed in the Note column under the Changes detail tab on the target account’s Payment Details window. Refer to View Account Payments and Payment Detailsfor more information.

    • Next Billing Account* — Select the billing account where you wish to move this payment amount to.

  9. Click Move to complete the payment move.

The Payment Details window (on the target account) for the moved payment will include a Moved From field with an active link to the Payment Details window for the source payment. The new (moved) payment will also be in COMPLETED status. The History detail tab lists updates.
