Account Notes

Notes are ideal for recording details about customer interactions. For example, you can log customer phone calls or document reasons for billing account changes. Since Notes are free-form, you can enter almost anything you like, without restrictions. You can enter or edit notes on the Account Details window.

Complete the following steps to view notes on the billing account:

  1. Select Customer Billing from the Gotransverse application menu Module menu icon.

    You may see a Customers and an Accounts tab or just the Accounts window, depending on the value for the Allow Multi-Customer Accounts Billing system setting. The Allow Multi-Customer Accounts system setting must be set to True to see both tabs. If this system setting is set to False, you will only see the Accounts window while in the Customers module. Refer to System Settings for more information about configuring system settings.

  2. Select a customer from the list or search for a customer from the Search field to open the Customer Summary window.

    To quickly access a customer or billing account, click thequick search icon icon on the title bar (on either the Customers or Accounts window) and enter part of the customer or billing account name. If you do not see the Accounts tab, you can still search for a billing account from the Customers window by entering part of the number in the Search field.     Click the collapse icon icon in the left pane to hide it. Click the icon to open it.

    You can manage which columns display in any table with a Configure or Columns button by clicking the button and selecting desired columns. In addition. If the table includes a Filter button, you can filter the table contents. If the table includes an Export button, you can export visible table contents (up to 50) to a CSV (comma-separated values) file. Refer to Data Tables for more information about using these features.

  3. On the Customer Summary window, select an account under the Accounts detail tab to open the Account Details window.

  4. On the Account Details window, click the Notes detail tab. Any notes previously created for this account are listed.

    If your tenant is configured with the Allow Multi-Customer Accounts system setting set to False, the Addresses, Phone Numbers, and Emails detail tabs are included on the Account Details window. Refer to System Settings for more information about how to configure system settings in the Admin application.

You can manage notes on the Account Details window. You can filter or export the summary list, configure which columns to display, or sort by Note Type, Last Updated Date, or User column. Also refer to Data Tables for more information about working with data tables.

  • Filter — Click the Filter button to open a slide-out window where you can select various filters for the list of notes. Click Apply to apply filters.

    Selected filters appear above the Notes data table. To remove a filter, click the X icon for the filter or Clear All to remove all filters.

  • Export — Click the Export button to download a CSV (.csv) file for the notes. Only the records shown in the table will be exported. You can export up to 50 records at a time.

  • Configure — Click the Configure button to select which columns will display in the data table. Click Restore Defaults to return to default settings. By default, the Last Updated Date and Note Type columns display. Also refer to Data Tables for more information about working with data tables.

Notes do not appear on the invoice or any other customer communications. Notes are saved as a historical record for each of your customers and cannot be deleted. However, you can edit a note at any time as needed.
