Debit Adjustments

A debit adjustment increases the customer’s balance due.

How Do You Access Debit Adjustments?

You can create a debit adjustment through the Customer action menu of an open billing account. For instructions on searching for and opening a Customer's billing account, refer to Search. To view debit adjustments that you've already created, click the Adjustments tab in the associated Account Workspace.

What Happens When You Create a Debit Adjustment?

When you create and post a debit adjustment, Gotransverse increases the amount owed by the billing account. The debit adjustment appears in the customer's next invoice, as well as on posting, and Gotransverse creates corresponding general ledger transactions.

After you create a debit adjustment, you must manually post it for it to be included in the next bill cycle run. Before you post a debit adjustment, you can edit or delete it. Once a debit adjustment is posted, you can reverse it but not delete or edit it.

Creating a Debit Adjustment

To make a debit adjustment on an account:

  1. Navigate to the desired billing account and from the Account action menu, select Create Debit Adjustment.

  2. In the Create Debit Adjustment window that appeared, enter the following fields:
    • Reason*—Select the reason for creating a debit adjustment.
    • Amount*—Enter the amount of the debit adjustment.
    • Effective Date*—Enter the date when the debit adjustment should be applied.
    • Description—Enter the additional information about the debit adjustment.
  3. After you have entered all required information, click Create Adjustment or click Create Another to save the adjustment and open another Create Debit Adjustment window.

The debit adjustment is added to the Adjustments tab and will be calculated in the next bill cycle for the billing account.

Editing a Debit Adjustment

You can edit the debit adjustment before it's posted and when its status is Pending. If the debit adjustment is already posted, see Reversing a Posted Debit Adjustment for more information.

To edit a debit adjustment:

  1. Navigate to the desired billing account and click the Adjustments tab.
  2. In the Debit Adjustments section, find the adjustment that you want to edit and under Actions, click the ellipsis button , and select Edit.
  3. In the Edit Debit Adjustment window that appears, you can edit the Reason, Amount, Effective Date, and the Description of your debit adjustment.
  4. To save your changes, click Edit Adjustment.

Deleting a Debit Adjustment

Before the debit adjustment is posted, you can delete it if desired.

To delete a debit adjustment:

  1. Navigate to the desired billing account and click the Adjustments tab.
  2. In the Debit Adjustments section, find the adjustment that you want to edit and under Actions, click the ellipsis button , and select Delete.
  3. In the Confirmation window, click Yes.

The debit adjustment is no longer displayed on the Adjustments tab.

Posting a Debit Adjustment

To post a debit adjustment:

  1. Navigate to the desired billing account and click the Adjustments tab.
  2. In the Debit Adjustments section, find the adjustment that you want to edit and under Actions, click the ellipsis button , and select Post.
  3. In the Confirmation window, click Yes.

After you have posted a debit adjustment, you cannot delete it, but you can reverse the adjustment when needed.

Reversing a Debit Adjustment

If a debit adjustment was made in error, you can reverse it after it's been posted. After the posted debit adjustment has been invoiced, it can no longer be reversed.

Note: Before posting, you can edit or delete a debit adjustment to address errors. See Editing a Debit Adjustment or Deleting a Debit Adjustment for more information.

To reverse a debit adjustment:

  1. Navigate to the desired billing account and click the Adjustments tab.
  2. In the Debit Adjustments section, find the adjustment that you want to edit and under Actions, click the ellipsis button , and select Reverse.
  3. In the Confirmation window, enter the required fields and then click Yes.
    • Reverse Reason*—Select the reason for creating a debit adjustment.
    • Reverse Adjustment Note*—Enter a note about the adjustment reversal.

The status of the adjustment changes to Reversed.

Note: In case a debit adjustment has not been posted, and the invoice has already been generated, you can change the date on the debit adjustment to one withing the next bill cycle, post, and it will invoice in the next bill cycle. Alternatively, you can reverse the debit adjustment once the date is modified.
